Administrator
The Project Administrator plays a central role in supporting the operational and administrative functions of the organisation. This includes managing systems, communications, reporting, and providing direct support to the CEO and wider team.

Salary: £18000 per annum (pro rata for 3 days)
Working Pattern: Days to be arranged to suit organisational requirements
Holiday Entitlement: 20 pays holiday (pro-rata for 3 days)

Role Purpose
The Project Administrator plays a central role in supporting the operational and administrative functions of the organisation. This includes managing systems, communications, reporting, and providing direct support to the CEO and wider team. The role ensures smooth delivery of projects, compliance with funder requirements, and contributes to the sustainability and strategic development of the organisation. The role requires someone with a strong understanding and empathy of the challenges faced by migrants and refugees, along with expertise in programme management, partnership building and ability to adapt working days to planned social gatherings and events.
Key Responsibilities
Administrative & Operational Support
Manage and maintain organisational systems including Podio, Loomio, website, and social media platforms.
Provide administrative support across all programs, including scheduling, documentation, and logistics.
Produce and submit funder reports in collaboration with project leads.
Administer board communications, including meeting scheduling, minute-taking, and document circulation.
Support the CEO with PA duties including diary management, correspondence, and meeting preparation.
Oversee financial admin tasks such as bill payments, donation platform management.
HR & Events & Compliance
Support HR processes including TOIL tracking, annual leave administration, and policy updates.
Liaise with the Head of Operations & HR on staff and volunteer administrative management and development.
Assist with onboarding (including laptop, mobile and IT set up), training coordination, and staff updates.
Ensure compliance with organisational policies and procedures.
Monitor staffing levels and volunteer numbers across projects.
